Privacy Policy
This policy explains how we handle personal data on the evidenta.cz website (including the English version at evidenta.cz/en/): when you fill in the contact form, when you e-mail us, and when you simply browse the site. The Evidenta application will have its own privacy policy. The Czech version is authoritative. Effective from 26 October 2026.
1. Who the controller is
The controller of your personal data is Evidenta Software s.r.o., IČO 30194920, registered office Jižní 361, 270 01 Kněževes, registered in the Commercial Register kept by the Municipal Court in Prague, Section C, Insert 458819. For anything concerning your data, write to us at [email protected]. We have not appointed a data protection officer, as the law does not require us to; we handle your requests ourselves.
2. Contact form and e-mail
The site has a single form, the contact form (/en/kontakt/). Only your name and e-mail address are required; your firm name, team size, the tool you use today, the subject and the message are optional. The form sends us what you filled in by e-mail together with the time of submission, and you receive a confirmation e-mail. The form also has an optional checkbox asking us to let you know when we open Evidenta to more firms. If you tick it, you give us your consent to send you the launch notice, and we record that you gave it, when, and in which language version of the site. If you leave it unticked, we simply reply to your inquiry. You can withdraw your consent at any time by replying to the confirmation e-mail or by writing to [email protected]. When you e-mail us directly, we process your address, your name, the content of your message and our further correspondence.
3. Visiting the site
On every visit our hosting provider automatically receives technical data: IP address, browser type, the page requested and the time. We measure traffic with Cloudflare Web Analytics: a short script on every page sends Cloudflare the page you opened, where you came from, your browser and device type and your IP address, from which Cloudflare derives the country. We only see aggregate numbers (page views, visits, countries, sources). The tool uses no cookies or any identifier stored in your browser, does not track you across sites and builds no profile of you. The site sets no cookies. We protect the form from spam with Cloudflare Turnstile, which briefly evaluates technical data about your browser to do so. We do not store your IP address, country or browser details with a submitted form, and the e-mails the form sends do not contain them.
4. Why, and on what legal basis
We answer contact-form messages and e-mails and arrange and prepare demos at your request, i.e. as steps prior to entering into a contract (Art. 6(1)(b) GDPR), and also because we have a legitimate interest in replying to people who contact us (Art. 6(1)(f) GDPR); we do not need your consent for this. We send you the launch notice only on the basis of the consent you give by ticking the checkbox in the form (Art. 6(1)(a) GDPR). Technical logs, spam protection, site security and cookieless aggregate traffic measurement rest on our legitimate interest in running and improving the site securely (Art. 6(1)(f) GDPR).
5. Do you have to give us your data?
No, providing your data is voluntary. Without your name and e-mail address, however, we cannot reply to you, which is why the form requires them. Everything else is optional: the other fields help us tailor our reply, and whether or not you tick the launch-notice consent has no effect on how we handle your inquiry.
6. Who works with the data
Only we, the founders of Evidenta, see your data. We do not sell it or use it for advertising. We are helped by these processors: Cloudflare (website hosting, form handling, aggregate Web Analytics traffic measurement and Turnstile spam protection), Resend (delivering the form message to our inbox and the confirmation e-mail to you) and [e-mail mailbox provider — to be added] (our e-mail mailbox, where we keep form messages and further correspondence). We have data processing agreements in place with our processors.
7. Transfers outside the EU
Cloudflare and Resend are US companies, so your data may also leave the European Union; the same may apply to [e-mail mailbox provider — to be added]. Where it does, the transfer relies on the EU–US Data Privacy Framework or on standard contractual clauses approved by the European Commission. Our promise that data never leaves the EU applies to the Evidenta application, not to this website.
8. How long we keep data
We keep contact-form inquiries and e-mail correspondence for 12 months after our last contact. If you ticked the launch-notice consent, we keep your contact details and the record of your consent for that purpose until we send you the launch notice and for no more than 12 months after it, and in any case for no more than 24 months from submitting the form; if you withdraw your consent earlier, we delete them earlier. If you become a customer in the meantime, further processing follows the application’s privacy policy. Technical visit logs (including IP addresses) are kept by our hosting provider for only a few days.
9. Automated decision-making
We make no automated decisions about you and do no profiling. Every message is read and handled by a person.
10. Your rights
You have the right to access your data, to have it rectified or erased, to restrict its processing and to data portability. You can object to processing based on our legitimate interest. You can withdraw your consent to the launch notice at any time: just reply to the confirmation e-mail or write to [email protected]. Withdrawal does not affect processing that took place before it.
11. How to exercise your rights
Just write to [email protected]. We reply without undue delay and within one month at the latest. To avoid giving your data to someone else, we may check that the request comes from the address it concerns.
12. Complaint to the supervisory authority
If you believe we handle your data in breach of the law, you can lodge a complaint with the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Praha 7, www.uoou.gov.cz. We would appreciate it if you contacted us first and gave us a chance to put things right.
13. Cookies
The site sets no cookies — the traffic measurement (section 3) needs none either — which is also why you will not find a consent banner on it. If that changes, we will update this policy in good time.
14. Changes and effective date
We will update this policy when the way we handle data changes, and at the latest when the application launches. The current version is always on this page. Effective from 26 October 2026.
